We sat down with Greg Sando, founder of WorkCloud, to learn how they help law firms of all shapes and sizes trade in outdated, manual processes for smarter, more scalable ways of working.

Can you briefly introduce your firm and the types of law firms you typically work with?

At WorkCloud, we focus on shaping processes into seamless, innovative digital solutions by leveraging best in class software such as Actionstep, smart integrations, and unparalleled implementation experience. Over the years we have refined our processes in having worked with law firms, ranging from sole practitioners to multi-office, multi-practice firms, community legal centres, government departments, accountants, and tax advisory firms.

How long have you been an Actionstep implementation partner, and what attracted you to the platform initially?

We have been involved in training and onboarding new Actionstep Consulting Partners over the past 14 years. We work with over 400 organizations and have supported implementations of Actionstep’s practice management platform for more than 400 law firm users to date. As WorkCloud’s founder, I was initially attracted to Actionstep’s intuitive interface, cloud-based technology, and the power that firms can harness using Actionstep’s customisable list views and workflows.

What are the most common operational or workflow issues you see in firms before implementation?

More firms than we’d like to acknowledge are mired in outdated, inefficient, admin heavy manual processes. This is particularly prevalent in client onboarding, information gathering, internal and external collaboration, document generation, time recording and billing, and internal reporting and performance tracking.

How do manual intake, data entry, or disconnected systems usually show up as pain points for law firms?

Aside from staff frustration, when manual tasks, data entry, and disconnection bubble up it often results in double or triple data entry into multiple systems (depending on your law firm’s tech stack), inconsistent documentation going out to clients, onerous and convoluted billing processes, and the loss of countless hours in billable time that hurt a law firm’s bottom line.

Migrating to new tech can feel overwhelming for many law firms, how do you help firms move from legacy or patchwork systems to Actionstep without disrupting daily work?

Understandably so! But it doesn’t need to feel that way when you have the right plan in place and do the upfront work first before switching. We use a range of project management methodologies to ensure a smooth and seamless transition for firms moving away from their outdated legacy systems to Actionstep’s modern solution. We adopt a personalised, consultative approach from kick-off all the way through a firm being up and running. This includes the initial scoping and discovery stages, project planning, user training, go-live, and support, ensuring minimal downtime and disruption to a law firm’s routine tasks and processes.

What does innovation mean to you in the context of legal technology and workflows?

It’s about understanding a firms goals and strategies, then working with them to create bespoke, creative solutions that adapt to how they work as a firm. In doing so, it is essential to encourage firms to embrace change management and technology not as a challenge or burden, but as an opportunity. When harnessed correctly, these tools can help tackle inefficiencies, reduce risk, and make the provision of legal services more accessible and scalable.

We love partnering with firms that embrace innovation and sharing ideas on how these firms can best use Actionstep’s capabilities to align to their business goals and ambitions, today, tomorrow, and years out.

What would you say to a firm that feels “too busy” to modernize its operations?

It’s worth making the time now and getting the right software in place as this will ultimately save the firm time and money in the future. A firm should also consider the ‘hidden costs’ they are incurring in retaining outdated technology and ineDicient processes and the extent to which it will be more disruptive, expensive and difficult to change and ‘catch up’ to their competitors later.

What trends are you seeing in how modern law firms think about operations and technology?

Firms are increasingly looking to update and future proof their organizations across a full software tech stack. We’re seeing firms become increasingly eager to be ‘ahead of the curve’ when it comes to making use of intelligent, AI-powered tools, dynamic reporting, and the automation of routine administrative tasks. They’re embracing new, dynamic ways of working more collaboratively with their clients. More recently, there’s been a big wave of firms moving toward compliancy and being prepared for the upcoming AML/CTF mandate in Australia.
